Creating Captions for Exported Video Files in PowerPoint

Some faculty use PowerPoint to create hybrid or online video content for their courses. To make it accessible, captions must be included for the multimedia content.

Follow these guidelines to make sure you upload your recorded PowerPoint into a platform that will allow you to create accessible captions.

  1. When you complete your recording, export the PPT file into mp4 format
  2. Take the exported video content and upload it into Yuja Links to an external site.
    1. You will receive an email notification when your file is fully uploaded and processed by Yuja
  3. In Yuja, ensure a caption file was created by hovering over your file with your mouse and selecting "more" from the context menu
  4. In the "more" menu, select the Accessibility tab
  5. Your captions should be available in SRT, plain text, and PDF formats
  6. If no caption files are produced (this should not happen), press the Auto Caption button to create automated captions for your video file

Editing Captions

Automated captions must be checked for accuracy. To do this, please follow these instructions:

  1. Hover over your video file and select edit from the context menu
  2. When the video editor launches, select the closed captioning icon on the video player to open the captions editor
  3. If you find grammatical, spelling or punctuation errors in your caption log, then correct them manually

Paid Captioning Services

If you have the budget, you can also send your files to a vendor such as Rev or 3Play Media. Texas State has contracts with both vendors if a paid option is preferred to manually editing captions.
